About the Role

We are seeking a Logistics Brokerage Administrator to help manage the daily flow of freight brokerage operations. This role supports accurate and timely documentation, carrier and customer setup, invoicing, and load coordination. You’ll serve as a key contact across both customers and carriers, ensuring shipments run smoothly and billing is completed without delays.

Key Responsibilities

Brokerage Operations

  • Prepare and manage shipment documentation and rate confirmations
  • Ensure all documentation is accurate, compliant, and properly stored

Billing & Invoicing

  • Generate invoices upon load completion
  • Track payments and address any billing discrepancies
  • Ensure timely closeout of all shipments

Data Entry & Record Keeping

  • Enter load information into the Transportation Management System (TMS)
  • Maintain clean, accurate documentation and perform periodic audits

Carrier & Customer Setup

  • Set up new carriers and customers, collecting all required documents
  • Manage credit checks and ensure accurate profile updates

Scheduling & Communication

  • Quote shipment rates and schedule pickups and deliveries
  • Maintain communication with carriers, drivers, and customers to ensure timely execution

Issue Resolution

  • Resolve documentation or scheduling issues quickly
  • Log issues and take steps to reduce recurring problems

Reporting & Sales Support

  • Help with internal reporting and metrics tracking
  • Assist with new customer onboarding and sales cycle activities as needed

Qualifications

  • High school diploma required; logistics/business certifications are a plus
  • 2+ years of experience in transportation, logistics, or brokerage preferred
  • Proficiency in Microsoft Office
  • Familiarity with TMS/load board systems (e.g., DAT, Truckstop) is an advantage
  • Strong attention to detail and ability to thrive in a fast-paced environment
  • Clear communication and strong problem-solving skills
