GROCERY ADMIN OPERATIONS COORDINATOR

About the Role

As a Grocery Admin Operations Coordinator, you will play a key role in ensuring the seamless flow of information, documentation, and logistics coordination for our grocery freight and distribution operations. From data entry to load scheduling and customer invoicing, this role supports both the frontline execution and the administrative backbone of high-volume transportation activity.

Key Responsibilities

Load Processing & Documentation

  • Process delivery receipts (DRs) and input them into the Master Broker (MB) system
  • Match DRs with manifests and address any discrepancies
  • Maintain both physical and digital records of deliveries

Load Building & Dispatch

  • Consolidate DRs to build Full Truckloads (FTLs) and optimize trailer utilization
  • Schedule deliveries across up to 26 Distribution Centers (DCs)
  • Enter all pickup/drop-off details in MB and prepare load folders with documentation

Post-Delivery & Billing

  • Verify PODs, lumper receipts, and enter detention/pay charges in MB
  • Complete proper billing documentation and close out shipments
  • Update internal trackers and customer-specific logs

Invoicing & Customer Coordination

  • Send weekly invoices and billing statements
  • Handle daily customer-specific invoicing (e.g., XPO)
  • Ensure accurate billing for accessorial charges such as restacks, lumper services, and pallet issues

Support Tasks

  • Assist with OS&D (Overages, Shortages, Damages), re-deliveries, and returns
  • Support inventory accuracy through warehouse count verification (GRC counts)
  • Communicate with warehouse, drivers, and customers regarding schedules and exceptions
  • Contribute to ongoing process improvements

Qualifications

  • Strong computer literacy (Excel, PDF tools, scanning, shared drives)
  • Prior experience in logistics or administrative coordination preferred
  • Highly organized with attention to detail
  • Ability to multitask in time-sensitive environments
  • Familiarity with WMS, CRM, or scheduling platforms
  • Team player with strong communication skill
